Invoca steps up to a scalable, auditable system.
As Invoca expanded into the United Kingdom and other European countries, the company needed the flexibility to invoice its global customers in local currencies. However, Invoca’s financial systems lacked an efficient way to load accurate foreign exchange (FX) rates. That left the finance team relying on manual processes. Building a custom FX rate solution would consume months of IT resources. Instead, Invoca used FXLoader from insightsoftware to automatically pull rates from trusted sources and load them directly into its NetSuite ERP and Zuora, its subscription billing platform. With automated FX conversions, Invoca now has the flexibility to continue its global expansion plans. Expansion Plans Meet Currency Complexities
When Invoca planned to expand into new countries, the finance team had a fundamental question to answer: how can we efficiently manage foreign exchange rates across multiple financial systems? The company had been invoicing customers exclusively in U.S. dollars (USD), which worked fine for their primarily North American customer base. But in 2020, Invoca began expanding into the UK market. That expansion was temporarily disrupted by COVID-19 but picked back up in 2023. “Customers wanted to be invoiced and pay in local currency,” Matt Loos, VP of Business Systems at Invoca, said. For Invoca's business model—which Loos described as a “low volume, high ticket business”—the stakes were significant. Without an efficient solution, global expansion would be hampered by cumbersome currency conversion processes. The currency challenge was also tied to a larger strategic objective. “The bigger goal is to have scalable and auditable financial systems. My CFO and I, that’s our primary goal,” Loos said. “When we look at how we’re expanding in the world and expanding our business, these are the things that come into play.” Having scalable, auditable financial systems—including reliable FX rate management—was essential for meeting the rigorous requirements of internal financial controls. To be successful, Invoca needed to load accurate exchange rates into both NetSuite and Zuora to support invoicing in British pounds and in euros. The finance team also needed to perform monthly consolidations in U.S. dollars. At first, leaders debated between two options:
Manually update exchange rates—a time-consuming, error-prone process.
Ask their IT team to build a custom integration, which would consume months of development time and create a homegrown solution requiring ongoing maintenance.
It seemed like choosing between the lesser of two evils. However, Invoca soon found a better solution.
Finding a Ready-Made Solution: FXLoader
Then Invoca teams started researching how an existing FX rate automation solution might fit into their custom integration. After talking with an insightsoftware competitor, Invoca leaders dismissed that option because it didn’t match their needs and budget closely enough. That’s when they found FXLoader from insightsoftware. [customer_testimonial] What stood out immediately was FXLoader's ability to eliminate the entire custom development project. Instead of spending months building integrations, Invoca could implement a solution proven to address the exact problem it faced. Most critically, Invoca leaders didn't want to divert IT resources away from product development. “We are a lean team, so we outsource if we can in a lean manner,” Loos explained. FXLoader offered multiple trusted rate sources from central banks and major rate services, direct ERP integration without manual uploads, proven reliability tested by hundreds of companies, and no ongoing maintenance requirements.
A Collaborative and “Darn Near Flawless” Implementation
Before the contract even began, the insightsoftware team clearly wanted to understand what Invoca was trying to achieve and make sure the solution fit Invoca’s needs. “Our implementation was darn near flawless,” Loos said. Invoca started with Zuora integration because that connection was already available from FXLoader. The only speed bump in the configuration was on Invoca’s side, he said. The NetSuite integration presented a more interesting challenge: FXLoader didn't yet have a prebuilt NetSuite connector. Rather than viewing this as a roadblock, both teams saw it as an opportunity for collaboration. “It was kind of like working with our own team,” Loos said. This partnership approach resulted in FXLoader building a NetSuite integration that would benefit not just Invoca but all future customers with similar requirements.
Set It and Forget It: Operations That Just Work
Since implementation, FXLoader has become an invisible but critical component of Invoca's financial operations, which is exactly what the finance team wanted. “Since then, the integration is rock solid,” Loos said, noting that they don’t have to give it attention unless they see an error message. The solution runs automatically in the background, pulling current exchange rates and loading them into NetSuite and Zuora without requiring any manual intervention. The reliability has been exceptional. The FXLoader support team proactively monitors the system and contacts Invoca if they perceive any potential issues—most of which turn out to be unrelated to FXLoader itself. This hands-off operational model delivers accurate foreign exchange rates flowing into Invoca’s financial systems daily, without consuming finance team time or IT resources. Accountants are not spending time translating back and forth between GBP and USD, which is a key operational benefit.
Enabling Customer Satisfaction and Global Growth
The most important outcome of implementing FXLoader has been enabling Invoca to serve international customers the way those customers want to be served. For UK and European customers, receiving invoices in GBP or Euros—rather than having to deal with USD conversions—removes friction from the billing process. Meanwhile, Invoca maintains perfect visibility into their global revenue performance, with all local currency transactions consolidating cleanly back to USD for financial reporting. The solution has proven so reliable that it has become a foundation for further global expansion. “Again, I'm putting a lot of responsibility on FX loader,” Loos said. “But to date, there's been no question that that's been the right thing to do.”
Positioning for Future Growth
Now in their third year using FXLoader, Invoca is expanding how they can use the solution to support additional business processes. In the next phase, they will integrate FXLoader with Salesforce to enable local currency quoting and forecasting on the front end of the sales process, not just the back-end invoicing and billing functions. “That is a big pain point right now,” Loos said. “We intend to expand our footprint with FXLoader to place FX rates into Salesforce,” he said. “Not only can we quote in local currency, but we can also roll up results and forecast in our reporting currency,” which is USD. Invoca aims to implement that capability in Q1 or Q2 2026. By extending FXLoader to Salesforce, Invoca will eliminate these Excel-based workarounds and create a seamless local currency experience across the entire customer lifecycle—from initial quote through invoicing and payment.
Invoca's Advice About FXLoader
When asked what he would tell peers at other companies considering FXLoader, Loos emphasized three core themes: partnership, reliability, and resource efficiency. “We would emphasize the partnership, the solution, and the support. The partnership has been a great fit,” he said. “It’s painless; it’s easy, great to work with.” For organizations facing the build-versus-buy decision for FX rate automation, Loos' perspective is clear: don't reinvent the wheel. He was glad to have the IT team work on more valuable projects while the integration team put FXLoader to work. The collaborative relationship during implementation and the rock-solid reliability since going live have validated Invoca's decision to partner with insightsoftware. FXLoader has become one of those rare technology solutions that just works quietly in the background—enabling business growth without creating operational overhead. For Invoca, that has been the ultimate measure of success: international customers pay in their local currencies, finance teams have accurate consolidated data, and IT resources stay focused on building the products and features that differentiate Invoca in the competitive conversation intelligence market.
