Incube transforms healthcare group’s fragmented reporting, providing scalable control with Certent disclosure management

Incube CPM

Key results

  • Client went from spending several weeks on report preparation to about a week with automation.

  • Direct integration of reports with financial data reduced fear of manual data entry errors.

  • Clear audit trail gave the client the ability to track the source of data and review report changes.

  • Client gained a single source of truth, relying on unified and consistent data.

From reporting chaos to control

Incube CPM, an insightsoftware partner, stepped in to help an international healthcare group fix its error-prone report process. Consolidating its scattered data manually carried a constant risk of mistakes and uncertainty, threatening the healthcare client’s ability to scale up its operations.

Incube worked with its client to implement Certent Disclosure Management from insightsoftware, a controlled, automated reporting environment that cleared up the chaos. With Certent DM, reporting shifted from reactive firefighting to streamlined, manageable workflows. The client now had centralized data, standardized outputs, and controls for audit purposes embedded directly into the process.

The result: faster reporting cycles, improved accuracy, and a finance team that could focus on analysis rather than assembly.

Incube CPM is a consultancy specializing in corporate performance management (CPM), with headquarters in Mokotów, Poland. With 300+ projects across Europe and globally, Incube develops technologies to improve financial processing, reporting, and planning. Incube’s healthcare client manages financial reporting for hundreds of private medical and diagnostic offices across Europe and in other regions.

A reporting process under stress

Before adopting Certent Disclosure Management, the client’s reporting process had become unsustainable. After multiple corporate acquisitions, financial data resided in various systems, documents, and spreadsheets. The finance team was weighed down with manual extraction, reconciliation, and consolidation at every reporting cycle. This type of manual reporting can lead to devastating results like the Norwegian Sovereign Wealth Fund’s $92 million Excel error.

Tight regulatory deadlines in the highly scrutinized healthcare environment leave little margin for error. Yet this healthcare client’s finance team was manually transferring financial data from the consolidation system into tables and schedules within the reports. Each correction required updating data in multiple places, which extended the process and increased the risk of errors.

Each update triggered more danger of version inconsistencies. What should have been a controlled financial narrative depended instead on risky, manual stitching together of numbers, commentary, and formatting, which also added data validation time.

Moreover, audit trails were difficult to maintain, controls were applied after reports were compiled rather than embedded in the workflow, and the finance team was forced into reactive firefighting mode during close and reporting periods. Skilled professionals were spending too much time assembling reports rather than analyzing performance or supporting strategic decisions.

The client’s inefficient reporting system created real operational risk. As the organization grew, these challenges compounded. Increased reporting complexity, evolving regulatory requirements, and higher stakeholder expectations exposed the limits of a spreadsheet-driven approach.

The existing process could not scale up without adding cost, risk, and delay. At that point, the conclusion became unavoidable: incremental fixes would not be enough; a fundamental shift to an automated, controlled reporting platform was required.

System integration and expert guidance transformed reporting

To make the shift, Incube worked with the client to implement Certent DM in phases. This approach minimized disruption while rapidly stabilizing the client’s reporting process with automation.

Incube played a critical role as the implementation partner, combining technical configuration with finance-domain expertise. Their team guided data mapping, template design, and process alignment, ensuring the solution reflected the client’s actual reporting requirements rather than forcing a generic structure.

A key driver of success was the platform’s tight integration with familiar tools like Excel and Word, which meant users did not need to relearn how to work; they simply worked in a more controlled, automated environment. Data connections integrated the reporting with IBM Cognos Controller and IBM Planning Analytics. The integration created a single, reliable source feeding all reports, eliminating duplication and version confusion.

Rather than attempting a full-scale transformation all at once, the rollout focused first on the most critical reporting outputs, linking core financial data directly into disclosure documents and replacing the most error-prone manual steps. This phased approach allowed the finance team to see immediate gains in speed and accuracy, while building confidence in the system early.

Data became centralized, outputs were standardized, and controls—particularly for audit purposes—were embedded directly into the process.

At the same time, built-in controls and validation checks were embedded in the workflow, shifting quality assurance from a reactive exercise to a continuous, system driven process.

Ultimately, the implementation succeeded not just because of the technology, but because it combined speed, usability, and expert guidance, turning what could have been a disruptive overhaul into a controlled, high-impact transformation.

The implementation did more than improve reporting; it fundamentally changed how the finance team operated. Instead of chasing data and managing errors, they gained a controlled, reliable process that allowed them to produce disclosures with confidence and speed.

In practical terms, this meant less time assembling reports and more time delivering insight, oversight, and strategic value.

Faster, controlled, and audit-ready reporting with Certent

The adoption of Certent DM modernized the way Incube’s client produced and governed its financial reporting. As a result, the client’s previously fragmented, manual process turned into a controlled, scalable system.

  • Reporting speed materially improved: automated data links and reusable templates eliminated repetitive manual work. The team was able to produce disclosures more quickly and meet tight deadlines with far greater confidence.

  • Accuracy and consistency strengthened: a single source of truth ensured that every number flowed consistently across all reports. Built-in validation checks reduced the risk of misstatements and last-minute corrections.

  • End-to-end control and auditability established: version control, change tracking, and structured workflows replaced ad hoc spreadsheet processes. The client moved to a fully transparent, audit-ready reporting environment.

  • Workflow efficiency dramatically increased: the finance team could collaborate in real time within a unified system, refreshing reports as needed. This lifted the burden of duplicated effort and dependency on email-based reviews and file exchanges.

  • Risk exposure significantly reduced: by embedding controls directly into the reporting process, the organization minimized compliance risk in a highly regulated healthcare setting.

Crucially, these benefits addressed the client’s core structural challenges. Features such as live data integration, centralized document management, and automated validation directly eliminated the inefficiencies of manual consolidation and the risks of disconnected spreadsheets. The platform provided a foundation that could scale with the organization’s growing reporting complexity without adding headcount or operational strain.

What began as a solution to a reporting bottleneck has become a strategic capability: a system that supports both compliance today and more sophisticated, data-driven reporting in the future.
