When Exports Weren't Enough

Sarkodie's core responsibilities are financial reporting and consolidations. His team must pull financial data together across the organization and report on it accurately. Before Spreadsheet Server, that meant exporting data from their ERP, manipulating it externally, and then trying to reconcile everything back to the source. Drilling into journal entry detail to find where corrections needed to come from was a slow, multi-step process. When something looked off, getting to the bottom of it took time the team didn't have. This problem was especially troublesome at month-end. “Consolidations—having the ability to look internally at the journal entry detail level to figure out where did our corrections need to come from, when did our adjustments need to be posted—Spreadsheet Server would definitely help with that,” Sarkodie said. The team evaluated several solutions. The deciding factor was straightforward: everyone on the team already knew Excel.

The Excel Advantage

Other tools were on the table. Tableau came up. Exports to other systems came up. But Sarkodie's team kept coming back to the same question: why force people to learn something new when the right product could meet them where they already were? “Everyone on our team is an Excel user,” Sarkodie said. “Instead of forcing everyone to learn new products, we were like, let's just find a product that works well with our team and the tools that they already know how to use.” After sampling two other solutions, Spreadsheet Server was the clear fit. The GXL and GXE formulas—which pull live, refreshable data directly from ERP into Excel—quickly became the team's most-used features. They can post an entry, refresh the pivot, and the updated workbook is ready for analysis. No manual exports required. Over two years, usage has grown from replicating the balance sheet and profit and loss (P&L) statement to running reconciliations across sub-ledger and general ledger accounts, tracking fixed assets and accruals, and performing budget-to-actual comparisons. And it’s all being handled within Excel, which is familiar to the team.

Getting Up and Running

Onboarding wasn't instant. Sarkodie described the early days candidly: setting up security files and connection files was new territory. The Spreadsheet Server team worked closely with the PatientPoint team to get everything working well within their unique ERP environment. Once past that initial setup, the experience got even better. The product proved itself. And when Sarkodie needed help with ad hoc queries in Query Designer, support was there. Working with insightsoftware support, Sarkodie learned to use Spreadsheet Server’s Query Designer to handle ad hoc queries.

From Replication to Investigation

The benefits Spreadsheet Server has brought extend beyond faster month-end close. With a few days freed up from reporting, the team can perform deeper analysis and find process improvements. “I was able to use Spreadsheet Server to quickly identify an incorrect entry, what was the impact, who posted it, and why did they post it,” said Sarkodie. In the process, Sarkodie tracked down a system connection problem that needed fixing. His follow-up resolved a significant issue that might otherwise have taken weeks to surface. That investigative capability has reshaped how the team works day to day. What started as a tool for replicating the balance sheet and P&L statement has evolved into a platform for full-cycle reconciliation—sub-ledger accounts, general ledger accounts, fixed assets, accruals, budget-to-actual comparisons, and variance analysis. The team built a dedicated reconciliation file that checks all accounts and tracks activity within them for each period. “The biggest thing for me as an accountant that has been amazing—reconciling everything to zero. Spreadsheet Server has definitely helped with that,” Sarkodie said.

Ready for Whatever Comes Next

PatientPoint was acquired by Advent International, a global private equity investor, in 2025 and has a new chief operating officer. With changes at those levels, many companies see new executive reporting requests stream in. Sarkodie isn't worried. He can build new reports quickly and explain the system to others on the team. Adapting isn't a complex project. It's a matter of deciding what to include and what to exclude. “Having everything laid out in front of you makes transitioning or moving to those types of reports very easy,” Sarkodie said. “Once someone explains how Spreadsheet Server works and then what the layout is in the [general ledger], it just makes the moving pieces flow.”
